Event Staff Opportunities

Work with us! We’re currently hiring staff to support event operations and logistics. We are seeking individuals with experience in any one of the following areas: event coordination, audience engagement, technical production, administration and/or hospitality. Administrative Coordinator

The Administrative Coordinator will provide administrative support to the Artistic Director, Managing Director, and Operations Manager. They will oversee and maintain organization of the office, including but not limited to information management, data tracking, and supply management. The administrative coordinator will ensure the office maintains a neat, orderly and comfortable appearance and serve as a point of contact for administrative issues.  They will prepare copies, edit materials and run errands as needed during the festival. The administrative coordinator has excellent customer service skills, strong organizational and communication skills, and working knowledge of basic office equipment.

Essential Functions:
Welcome visitors as they enter office, organize office, maintain office supplies, provide support as needed to the Artistic Director, Managing Director, and Operations Manager, assist with collecting audience awards data, assist in preparation and printing of daily scripts and scripts for awards, assist with purchase of office supplies, food, and beverages, assist festival staff with updates and changes, think in advance of situations and inform reporting staff of issues, perform other duties as assigned.

Merchandise Coordinator 

The Merchandise Coordinator will welcome guests and provide exceptional customer service in all festival merchandise sales with festival guests at Lightbox Film Center. The merchandise coordinator will set up, man, and break down the festival merchandise table, and ensure honest and accurate processing of sales is performed. The Merchandise Coordinator will count merchandise prior to start of day and at the end of the business day and submit final counts of merchandise and monies received to the Managing Director and/or Operations Manager daily. The merchandise coordinator will provide as needed assistance to the Market Coordinator and Vendor Marketplace.

Essential Functions:

Process merchandise sales, donations, and memberships, using Square POS to process credit and debit cards and cash handling; establish and record sales, receipts, and memberships using a point of sale program.

Front of House Coordinator

The Front of House (FOH) Coordinator will welcome guests and provide exceptional customer service in helping guests with managing will call tickets and passes, taking ticket stubs for entry into the theater, theater seating, exiting the theater and theater clean-up at all festival theater locations for the duration of the festival, ensuring that screenings are running on-time as scheduled. The FOH coordinator will also assist with ensuring proper head counts are taken at each screening and ticket stubs received are recorded and reported to festival staff at the end of each business day. The FOH coordinator will assist with facilitating, collecting, and counting voting survey information for festival awards.

Essential Functions:

Welcome visitors; provide assistance to visitors at all venues. Review and update will call list as individuals receive tickets. Collect tickets and record ticket stubs received and head counts for all screenings for box office and festival staff. Ensure theater is clean prior to and after all screenings. Assist with collecting email addresses and conduct visitor experience and awards surveys, and distributing program guides.

Hospitality Coordinator 

The Hospitality Coordinator will support the Guest Services liaison in fielding guest inquiries, concerns and special requests through various mediums including phone and e-mail. The Hospitality Coordinator will maintain a list of key sponsors and welcome and provide exceptional customer service with regard to any festival inquiries, and assist in resolving any guest concerns.

Essential Functions:

Field guest and sponsor inquiries, providing information, directions, and assistance. Monitor environment to detect potential hazards or issues and notify appropriate personnel for corrective action. Identify suspicious activity and notify security department and appropriate festival personnel. Monitor and order/retrieve supplies and food levels as needed. Track status of festival press and VIP passes through coordination with Box Office/Theater Assistant. Setup and breakdown VIP/Green Room. Setup VIP bags. Perform other duties as assigned.

Production Coordinator

The Production Coordinator will provide support to the Managing Director, Special Events Manager, and Operations Manager to provide flawless execution of all festival events and screenings. They will assist with the execution of the opening reception, panels & workshops, director’s dinner, and closing night reception. They may serve as a host and warmly greet guests as they exit and enter events. They may assist with setup of events or screening as needed. The Production Coordinator is vigilant and aware of any potential issues and will work with staff to resolve them.

Essential Functions:

Assist with setup and breakdown of any event space, assist with event logistics and maintaining festival operations, fill positions as needed when short-staffed, other duties as assigned.

Special Events Coordinator 

The Special Events Coordinator will provide support the Special Events Manager, Operations Manager, and Managing Director to provide flawless execution of all festival special events. They will assist with the execution of the opening reception, awards ceremony, director’s dinner, and closing night reception. They may serve as a host and warmly greet guests as they exit and enter events. They will work behind the scenes during and through the event to assist the Special Events Manager, Managing Director, and Operations Manager. The Special Events Coordinator is vigilant and aware of any potential issues and will work with staff to resolve them.

Essential Functions:

Assist with setup and breakdown of event space, assist with event logistics and maintaining event operations during any special events, fill positions as needed when short-staffed, other duties as assigned.

Technical Production Assistant

The Technical Production Coordinator will provide support to the Technical Production Manager, Print Traffic Manager, Operations Manager, and Managing Director to provide flawless execution of all festival events and screenings. They will assist with technical issues and may work with building staff to resolve issues. The The Technical Production Coordinator is familiar with audio setup and/or film formats and programs. This person will travel to various theaters, venues, and temporary structures to support onsite execution.

Essential Functions:

Assists with event production and logistics related to audio/video production, lighting, staging and live streaming from pre-production through execution, assist with the management of hardware to support event, perform other duties as assigned.

Communications Coordinator 

The Communications Coordinator will provide support to the Social Media Manager. This person will assist with updates to the website, festival newsletter, and social media accounts (i.e. Facebook, Twitter, IG) during the festival, per discretion of staff. They will assist with content creation and aggregation. They will be a second point of contact for media relations and press during the festival. They will collect relevant data as it relates to audience engagement for internal use. This person must have outstanding communication skills, be able to work in a fast-paced environment, and have excellent attention to detail.

Essential Functions:

Assists with press check in, assist with social media updates, coordinate with hospitality as needed, other duties as assigned.

Festival Analytics Coordinator

The Festival Analytics Coordinator will oversee all data collection for the festival, including but not limited to audience attendance, festival attendance, audience awards surveys, and voluntary informational surveys for all venues for the Managing Director and Operations Manager. The Festival Analytics Coordinator will organize and collect this data into an online document that will be shared with the Managing Director, Operations Manager, and Artistic Director. The Festival Analytics Coordinator will provide daily and/or live updates of this data for festival use.

Essential Functions:

Tracking audience attendance for all venues, tracking festival attendance, using Google Drive documents and spreadsheets to organize data, conducting surveys with festival and audience attendees.

Terms:

  • Ability to work eight (8) hours per day during the run of the festival, August 1 – 4
  • Expected to attend planning meetings leading up to the festival, and post-festival meetings
  • Must be available for 40+ hours the week of July 28 – August 4
  • A personal laptop or access to one will be expected, but not required
